Privacy Policy

SimplySoft.io, operating as SimplySub (“SimplySub,” “we,” “our,” or “us”), respects your privacy. This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you visit the SimplySub website, create an account, or use the SimplySub platform and related services.

This Privacy Policy applies to the public SimplySub website and the authenticated SimplySub platform. It does not apply to third-party websites, services, or applications that maintain their own privacy policies.

1. Our Role

SimplySub provides business-management software to contractors and trade businesses.

For information entered, uploaded, or connected by a SimplySub customer, the customer generally determines what information is collected and how it is used. In these circumstances, SimplySub processes the information on the customer’s behalf.

SimplySub customers are responsible for:

  • Providing appropriate notices to employees, subcontractors, customers, and other individuals
  • Obtaining any consent required to collect or process personal information
  • Configuring permissions and access appropriately
  • Ensuring their use of SimplySub complies with applicable employment, privacy, communications, and location-tracking laws

If your information was entered into SimplySub by your employer or another business, you should normally contact that organization first with questions or privacy requests.

SimplySub separately determines how information is used for its own account administration, billing, security, support, analytics, marketing, and legal-compliance purposes.

2. Information We Collect

A. Account and Contact Information

  • Name, email address, telephone number, company name, and business contact details
  • Username, password, and other authentication information
  • Account role, permissions, and security-group information
  • Communications with SimplySub support

B. Customer and Business Records

Customers may enter or upload information concerning employees, subcontractors, customers and customer contacts, vendors and suppliers, and sales prospects. This information may include:

  • Jobs, projects, estimates, invoices, payments, and purchase orders
  • Materials, equipment, vehicles, and other assets
  • Customer, vendor, project, and prospect contact information
  • Notes, internal comments, messages, photos, signatures, and uploaded documents
  • Training, certification, and credential records

C. Workforce and Payroll-Related Information

Depending on how a customer configures and uses SimplySub, the platform may process:

  • Timecards, work schedules, attendance records, and assignments
  • Pay rates, earnings, and payroll-related records
  • Training and certification information
  • Driver’s license or government identification details
  • Emergency contact information
  • Clock-in and clock-out records
  • Photos, signatures, notes, and uploaded files

SimplySub is not designed to intentionally collect Social Security numbers, tax identification numbers, bank account numbers, complete payment-card information, medical information, or criminal-history information. Customers should not enter or upload this information unless a SimplySub feature expressly requests it and the customer has the legal authority to provide it.

D. Location Information

SimplySub may process:

  • Jobsite addresses and map coordinates
  • Vehicle and equipment locations received from GPS providers
  • Vehicle routes and location history
  • Clock-in and clock-out locations
  • An employee mobile device’s location while the employee is actively clocking in or out

SimplySub does not use employee mobile devices for continuous background location tracking. Customers are responsible for notifying workers and obtaining any legally required consent before enabling location-related features. GPS information may be received through integrations such as OneStep GPS and US Fleet Tracking.

E. Communications and Content

SimplySub may process or store transactional emails, SMS or text messages, estimate and invoice communications, internal notes and comments, customer-support communications, writing-assistance content, and job or project summaries.

Emails may be delivered using SendGrid, and text messages may be delivered using ClickSend. These providers process the information required to deliver and manage the applicable communication.

F. Device and Usage Information

When you visit or use SimplySub, we may automatically collect:

  • IP address, browser type, device type, and operating system
  • Pages, links, buttons, and features viewed or used
  • Referring pages and campaign information
  • Login and session activity
  • Approximate location derived from an IP address
  • Error, diagnostic, security, and performance information
  • Cookie identifiers and similar technology

The platform may request access to device location, the photo library or files you select, and the microphone when needed for a feature. Device permissions can generally be controlled through the device’s settings.

3. Cookies, Analytics, and Advertising

We use cookies and similar technologies to keep users signed in, maintain secure sessions, remember preferences, understand how the website and platform are used, diagnose errors, improve performance, measure advertising results, and support interest-based advertising.

We currently use services that may include Google Analytics, Google advertising technologies, Meta Pixel, and PostHog.

PostHog is used on the public website and authenticated platform for product analytics and session replay. Sensitive fields are configured to be masked in session replays.

Google and Meta may use cookies or similar identifiers to measure advertising performance and support targeted or interest-based advertising. Information disclosed for these purposes may be considered “sharing,” targeted advertising, or a “sale” under certain privacy laws, even when no money is exchanged.

SimplySub does not sell personal information for money.

Nonessential analytics and advertising technologies may load automatically. You can manage cookies through your browser settings and use opt-out controls offered by Google, Meta, and other applicable providers. Blocking cookies may affect certain website or platform functions.

4. Information From Third Parties and Integrations

We may receive information from services that a customer chooses to connect, including:

  • QuickBooks Online
  • Google accounts or Google Sign-In
  • Stripe Connect
  • OneStep GPS
  • US Fleet Tracking

The information received depends on the integration, the permissions granted, and the customer’s configuration.

Disconnecting an integration stops future authorized exchanges but does not automatically delete information previously imported into SimplySub. Previously imported information remains until it is separately deleted or the applicable account is deleted under our retention practices.

Third-party services have their own privacy policies and terms. Customers should review those policies before enabling an integration.

5. Payments and Billing

SimplySub subscription billing is managed through Chargebee. SimplySub customers may use Stripe Connect to collect payments from their own customers. Chargebee, Stripe, and associated financial institutions may process payment information according to their own privacy policies and terms.

SimplySub may receive billing and transaction details such as subscription status, transaction identifiers, payment status, amounts, dates, and limited payment-method information.

6. Artificial Intelligence Features

SimplySub uses a privately hosted artificial intelligence model to provide features such as writing and message assistance and job or project summaries.

Information processed by these features is not sent to an external AI model provider and is not used to train public or third-party AI models.

AI-generated content may be incomplete or inaccurate. Users are responsible for reviewing generated content before relying on, sending, or publishing it. SimplySub does not use these AI features to make employment, credit, insurance, legal, or similarly significant decisions about individuals.

7. How We Use Information

We use information to:

  • Provide, operate, maintain, and improve SimplySub
  • Create, authenticate, and administer accounts
  • Process customer-directed business, workforce, and payroll-related records
  • Provide estimating, invoicing, payment, job-management, training, communication, and reporting features
  • Support GPS, clock-in, and location-related functions
  • Enable customer-authorized integrations
  • Deliver email and text communications
  • Process subscriptions and transactions
  • Provide support and onboarding
  • Generate customer-requested AI assistance and summaries
  • Monitor performance, diagnose errors, and understand feature usage
  • Protect accounts and prevent fraud, abuse, and unauthorized access
  • Measure and improve marketing campaigns and support interest-based advertising
  • Enforce our agreements and comply with legal obligations
  • Establish, exercise, or defend legal claims

We may also use aggregated or de-identified information that cannot reasonably be linked to an identifiable individual.

8. How We Disclose Information

A. Service Providers

We may disclose information to service providers supporting hosting, infrastructure, databases, backups, email and SMS delivery, billing and payment processing, analytics, advertising, error monitoring, authentication, customer support, security, and fraud prevention. These providers receive information according to the services they perform for us.

B. Customer-Directed Disclosures

We disclose information when a customer enables an integration, sends a communication, processes a payment, shares a document, or otherwise directs us to provide information to another party.

C. Authorized Account Users

Information may be accessible to account owners, administrators, managers, or other users according to permissions configured by the customer.

D. Legal and Safety Reasons

We may disclose information when reasonably necessary to comply with applicable law or a valid legal request, protect rights and safety, investigate fraud or security incidents, enforce our agreements, or establish, exercise, or defend legal claims.

E. Business Transactions

Information may be transferred as part of a merger, acquisition, financing, reorganization, sale of assets, bankruptcy, or similar business transaction.

9. Data Retention

We retain information for as long as necessary to provide the service, fulfill the purposes described in this Privacy Policy, and meet applicable legal and business requirements.

Customer account data is generally scheduled for deletion 30 days after account cancellation.

Some information may be retained longer when reasonably necessary for billing, tax, accounting, and transaction records; security and fraud-prevention logs; legal disputes, investigations, and preservation obligations; enforcing agreements; or complying with applicable law. Backup copies may remain until removed through the normal backup lifecycle.

10. Data Security

SimplySub uses administrative and technical safeguards designed to protect information, including HTTPS and TLS encryption while information is transmitted, role-based access controls, routine backups, security logging and monitoring, and restrictions on employee and support access.

No method of storage or transmission is completely secure. We cannot guarantee absolute security, but we work to protect information against unauthorized access, loss, misuse, alteration, and disclosure.

Customers are responsible for maintaining secure credentials, managing user access, and promptly notifying SimplySub of suspected unauthorized account activity.

11. Privacy Rights and Choices

Depending on where you live and subject to applicable law, you may have the right to:

  • Know whether we process your personal information
  • Request access to or a copy of your personal information
  • Request correction or deletion of personal information
  • Obtain information about how personal information is used or disclosed
  • Opt out of certain targeted advertising or sharing
  • Withdraw consent where processing is based on consent
  • Appeal or complain about the handling of a privacy request
  • Receive equal service without unlawful discrimination for exercising a privacy right

To submit a request, email support@simplysub.com. We may need to verify your identity and authority before completing a request.

Requests concerning information controlled by a SimplySub customer must generally come from an account owner or administrator. Employees, subcontractors, customer contacts, and other individuals should normally contact the business that collected their information first. We will assist our customer in responding when appropriate.

Canadian residents may request access to personal information held about them and ask that inaccurate or incomplete information be corrected. They may also contact the Office of the Privacy Commissioner of Canada or the applicable provincial privacy authority.

Some rights are subject to legal exceptions. We may retain information where required by law or where necessary for security, fraud prevention, legal claims, or other permitted purposes.

12. Marketing Communications

You may opt out of SimplySub marketing emails by using the unsubscribe link included in those messages or by contacting us. Opting out of marketing does not prevent us from sending service-related communications, including account, billing, security, transaction, and support notices.

Text-message recipients may use the opt-out instructions included in applicable messages. Message and data rates may apply.

13. Children’s Privacy

SimplySub is intended for business use by adults and is not intended for anyone under 18. We do not knowingly collect personal information directly from children.

Customers should not create accounts for minors or use SimplySub to store information about minors. If you believe information about a minor has been provided to SimplySub, contact us at support@simplysub.com.

14. International Processing

SimplySub currently serves customers in the United States and Canada. SimplySub’s production systems and customer data are hosted in the United States.

If you access SimplySub from Canada or another country, your information may be transferred to and processed in the United States, where privacy laws may differ from those in your location. Information processed in the United States may be subject to lawful access by U.S. courts, law-enforcement agencies, or government authorities.

15. Third-Party Services and Links

SimplySub may contain links to third-party websites or enable connections with third-party services. We do not control the privacy, security, or content practices of those third parties. Their collection and use of information are governed by their own policies.

16. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes to SimplySub, our information practices, or applicable requirements. When we update the policy, we will revise the effective date. If changes are material, we may notify account owners by email.
