This release introduces new ways to manage invoices, estimates, employee time, and job information. It also improves reporting, mobile GPS tracking, customer support, and several commonly used notifications. These updates are designed to reduce repetitive administrative work, give you better visibility into customer and employee activity, and make everyday tasks easier for both your team and your customers.
New
- π Customers can now view invoices online. Invoice emails can include a button that opens the invoice in the customer portal, where customers can view, print, pay, or explore available financing options. This gives customers one convenient place to review everything related to the invoice without searching through attachments or requesting another copy. It also creates a smoother path from receiving an invoice to taking action, helping you get documents reviewed and payments completed faster.
- Invoice activity is now recorded in an audit log. You can review important invoice activity, including when a customer views an invoice through the customer portal. This gives your team a clearer record of what happened and when, which can be especially helpful when following up on unpaid invoices, answering customer questions, or confirming whether a document was successfully accessed.
- Preview invoices as your customer. A new “View as Customer” option lets you see exactly how an invoice will appear in the customer portal before sharing it. This helps you catch missing information, formatting issues, or unexpected details before the invoice reaches the customer, giving your team greater confidence that every document looks professional and is ready to send.
- π Control PDF attachments for estimates and invoices. New financial settings let you stop attaching PDFs to outbound emails, encouraging customers to open documents through the customer portal where views can be tracked. This was added to give companies more control over how financial documents are delivered and to make customer engagement easier to measure. Instead of wondering whether an attachment was opened, your team can guide customers toward a more interactive and trackable online experience.
- π Receive notifications when customers view financial documents. SimplySub can now email you when a customer opens an estimate or invoice through the customer portal. These notifications provide useful context for timely follow-up. For example, your team can reach out shortly after an estimate is reviewed, or know that a customer has seen an invoice before beginning a payment conversation.
- π Customize the columns shown on estimates and invoices. Choose whether customers see quantities, units of measure, rates, tax details, and line-item totals. You can also hide these columns to present your work as a package with one total price. This flexibility allows each company to present pricing in the way that best fits how it sells its work, whether that means providing a detailed breakdown or protecting internal pricing structure by showing a simpler bundled price.
- Invite employees to SimplySub by email. Quickly send login invitations to one or more employees directly from your workspace. This makes onboarding a crew significantly faster, especially for companies adding several employees at once. Administrators no longer need to manually reset each employee’s password just to trigger an account email, saving time and giving employees a clear, secure way to create their own login credentials.
- π Connect SimplySub jobs to an external calendar. Subscribe to your job calendar from services such as Google Calendar, Outlook, Apple Calendar, and Yahoo through the Integrations Marketplace. This allows employees, managers, and owners to see scheduled work alongside the rest of their calendar without repeatedly opening SimplySub. When job dates or scheduling details change, the subscribed calendar can stay updated automatically, helping reduce missed appointments and scheduling confusion.
- Sort lookup values alphabetically with one click. Products, services, job titles, and other administrative lookup values can now be alphabetized without manually rearranging each entry. This is especially useful as your account grows and administrative lists become longer. Keeping values organized makes information easier to find, reduces scrolling, and helps maintain a cleaner experience for everyone using the system.
- π Review all employee punch locations on one map. The unified punch map displays employee clock-in and clock-out locations together and is available from the punch log, reports, and job labor views. Instead of opening individual punches one at a time, supervisors can quickly review an entire day or group of punches from a single map. This makes it easier to verify that employees were at the correct job sites and investigate unusual or inconsistent punch activity.
- π Review employee hours with the new Timesheet Report. Hours are organized by employee and day, making it easier to review weekly or biweekly time before processing payroll. The report gives administrators a familiar timesheet-style view of labor activity, helping them identify missing punches, unusually long shifts, overtime, and other issues before payroll is finalized. This can reduce payroll corrections and the time spent piecing together hours from multiple screens.
Improved
- Live chat support is now available inside SimplySub. Select the question mark icon and choose Get Help to start a conversation with the support team. This gives users a faster and more convenient way to ask questions without leaving the page they are working on. Being able to contact support directly from inside SimplySub also makes it easier to explain the issue and get help while the relevant screen is still in front of you.
- GPS tracking is easier to use on mobile devices. The mobile GPS view now provides a larger map area and improved on-screen controls. These changes make it easier for supervisors and field users to review locations, move around the map, and inspect punch details on smaller screens. The improved layout is particularly useful for teams that rely on phones rather than desktop computers while working in the field.
- Report searches return more focused results. Searching the report library now makes it easier to find the reports that match your keywords. As the number of available reports continues to grow, a more precise search experience helps users spend less time scanning unrelated results and more time working with the information they actually need.
- Daily task reminder emails include clearer punch list details. Reminders now better identify open and overdue punch list items associated with specific jobs. This additional context helps employees understand exactly what still needs attention without first signing in and searching for the related job. Clearer reminders can lead to faster completion, fewer overlooked items, and less follow-up from managers.
- Job assignment emails include the full job address. Employees and contractors can more easily locate the correct job site directly from the notification. Including the complete address reduces the need to open SimplySub or contact the office for directions, helping crews get where they need to go with less confusion and fewer delays.
