This is one of our largest SimplySub releases yet. The August 15 update introduces integrated payment processing, significantly expanded QuickBooks Online support, new document-management tools, stronger estimate and invoicing workflows, and major mobile improvements for teams working in the field.

As always, the goal is simple: reduce administrative work, keep important information organized, and make SimplySub even easier to use, whether you’re behind a desk or standing on a jobsite.

New

• 🔥 Accept customer payments directly through SimplySub. SimplySub Payments brings payment processing directly into your existing financial workflow. Customers can pay using credit cards, bank transfers, and other supported payment methods without your team managing a separate payment system.
• Contractor Documents provide a central home for internal files. Upload business, company, and employee documents your team may need throughout the day. Files can be opened directly in SimplySub or shared individually using a secure link.
• Daily logs can now be exported as professionally branded PDFs. Create a clean, shareable record of completed work, notes, comments, photos, and other jobsite activity. Daily log PDFs can be downloaded, printed, or shared with customers, general contractors, and other project stakeholders.
• 🔥 Notes can now be organized using custom categories. Group notes by topics such as weather delays, customer conversations, change requests, inspections, or anything else that fits your operation. Create your own categories or use a default category to keep note entry fast.
• 🔥 Estimate terms and conditions are now supported. Add terms to an individual estimate or establish standard terms through your financial settings. Customers can review the terms through the customer portal and confirm their agreement before accepting the estimate.
• 🔥 Customers can now sign estimates electronically. Estimate acceptance now includes an actual signature rather than relying solely on an acceptance checkbox. Customers can sign using a mouse, touchscreen, phone, or tablet, providing a clearer record of approval.
• 🔥 Additional files can now be included when sending financial documents. Attach up to five supporting files when emailing estimates, invoices, payment receipts, or purchase orders. This makes it easy to send agreements, product data sheets, project specifications, samples, and other supporting materials together.
• Payment history now appears directly on invoices. Your team and your customers can review the payments and refunds associated with an invoice without piecing together information from multiple screens.
• Refunds can now be processed directly through SimplySub for eligible payments that have already been received.
• Customer credits and unapplied funds can now be used while recording a payment. Available credit can be applied directly to open invoices, giving your team a clearer and more flexible payment-allocation workflow.
• Payment-cleared notifications have been added. SimplySub will notify you when a processed payment successfully clears, helping your team stay informed without repeatedly checking its status.
• 🔥 Payment receipts are now available throughout SimplySub. Send or print receipts from the main payments area, individual payment records, job financials, and customer financials.
• Estimates now provide faster access to previews and linked invoices. Preview the current estimate or review invoices created from it directly from the estimate management screen.
• Products and services now include a cost field. Record what your company pays for an item or service alongside its customer-facing rate, creating a stronger foundation for job costing, margin visibility, and overhead reporting.
• Jobs now have a dedicated project number field. Store your own job or project number and view it from the job progress screen or the job’s Details tab.
• 🔥 GPS Tracking now shows your current location. A “You Are Here” marker makes it easier to see where you are in relation to tracked vehicles, equipment, trailers, and other assets—especially when navigating toward an asset in the field.

Improved

• 🔥 The QuickBooks Online integration has been significantly expanded. SimplySub now provides broader support for estimates, invoices, products and services, payments, and purchase orders. Improved mapping helps records land in the correct QuickBooks accounts and categories, while automatic syncing reduces the need to manually send each update.
• QuickBooks setup and mapping are easier to manage. Integration settings have been reorganized into clearer sections, making it easier to understand which SimplySub records are connected, how they are mapped, and which settings still need attention.
• 🔥 The customer portal now includes more financial information. Customers can view invoices in addition to estimates, review estimate terms and conditions, and access payment history associated with an invoice.
• 🔥 Sending estimates and invoices is now faster. The sending screen initially displays the customer portal version in the preview window, instead of making you wait for the PDF version to generate. A PDF preview remains available whenever you need it.
• Financial PDF previews now provide a clear loading experience. When SimplySub needs time to prepare a PDF, an animated loading screen appears instead of briefly opening a blank page and leaving you wondering whether anything is happening.
• Payment and refund history is easier to explore. New filters and interactive summary cards make it faster to narrow down transactions and understand payment activity.
• Payment records now use clearer, human-readable references. Customer-facing screens and transaction history display recognizable payment numbers instead of exposing internal database IDs.
• Partially paid invoices now have their own filter. Quickly find invoices that have received a payment but still have an outstanding balance.
• Payment allocation is now easier to understand and control. The payment workflow more clearly shows available customer credit, invoice totals, remaining balances, and exactly how funds will be distributed before the payment is submitted.
• Daily logs now open in a focused single-day view. Review today’s job activity immediately while retaining the option to select a date range whenever you need a broader project history.
• The daily punch log has been refreshed for easier time management. Larger text, clearer mobile presentation, and job-status indicators make punch activity easier to review and help call attention to employees clocking into or out of completed jobs.
• 🔥 Time-entry reports now provide a dedicated mobile experience. Instead of forcing a large desktop table onto a small screen, time entries are reorganized into a mobile-friendly layout with collapsible filters and easier-to-read records.
• The Safety Talk library is easier to search and filter. You can limit results to talks containing videos, search the visible talk name and description, and quickly spot matching words highlighted within the results. View all safety talks.
• File previews work better on mobile devices. Long filenames no longer push important actions off the screen, and file controls are now placed in a cleaner, easier-to-use mobile layout.
• Job contacts now display email addresses on the Overview tab whenever an email address is available, keeping important contact details close at hand.
• Job addresses are now easier to copy. A dedicated copy action eliminates the need to manually select and copy an address, especially on mobile devices.

Fixed

• Custom date fields now save entered dates correctly in the rare situations where a saved value previously failed to appear.
• Shared file links now handle filenames and special characters more reliably, helping copied file links open correctly across browsers and devices.
