SimplySub’s September 13 update adds texting for financial documents, job mapping, weather capture, time tracking improvements, reports, and more.

This release is packed with improvements designed to save time in the field, improve communication with customers, and give you better visibility into your jobs and crews.

You can now text estimates and invoices directly to customers, automatically capture jobsite weather, see every active job on a map, build professional photo reports, automate employee lunch breaks, collect deposits more clearly, and much more.

We’ve also made significant improvements to time cards, Toolbox Talks, estimates, invoicing, reporting, job management, and everyday workflows throughout SimplySub.

New

  • 🔥 Refer SimplySub to others and earn $150 Gift Card. Know another contractor who would benefit from SimplySub? The new Refer & Earn program lets you share SimplySub with other contractors and earn a $150 Amazon gift card for each referral once they sign-up. There is currently no limit on the number of gift cards you can earn.

  • 🎉 Send estimates, invoices, and receipts by text. Give customers another fast, convenient way to respond. Estimates, invoices, and payment receipts can now be sent by text message directly from SimplySub to one or multiple customer contacts. Customers can open the document right from their phone—helping you get estimates reviewed, invoices seen, and payment information delivered faster.

  • 🎉 Automatically capture jobsite weather conditions. Stop manually documenting the weather every day. SimplySub can now automatically capture hourly weather information for your jobs and make that information available in the Daily Log. It creates a more complete job record with less work from your field team—especially useful when documenting rain, temperature, wind, delays, or changing site conditions. Jobs simply need a valid address or GPS coordinates.

  • View all your jobs on a map. The new Job Map View gives you an instant geographic picture of your active work. See where crews and projects are concentrated, identify jobs that are close together, and better understand how work is spread across your service area. Jobs without coordinates are also clearly identified so location information can be updated.

  • 🎉 Create professional jobsite photo reports. Turn the photos your team is already taking into polished, customer-ready documentation. Select individual photos or entire photo categories and generate a branded PDF report that can be shared with customers, general contractors, project managers, or your own team. It’s an easy way to document progress, completed work, job conditions, punch items, and more.

  • 🎉 Set deposit requirements on estimates. Estimates now include a dedicated deposit percentage so payment expectations are clear before work begins. SimplySub automatically shows the total estimate, required deposit, and remaining balance, giving customers a much clearer picture of the payment schedule when they review an estimate.

  • Connect your Microsoft email account. Microsoft email is now supported alongside Gmail. Connect your Microsoft account and send estimates, invoices, receipts, and other SimplySub communications through your own email address, helping customer communication feel consistent and familiar.

  • 🎉 Automate employee lunch breaks. Reduce missed lunch punches and time card cleanup. SimplySub can automatically insert unpaid lunch periods for qualifying shifts based on the rules you configure. Lunch entries appear on time cards and punch logs just like other time entries, giving the office a more consistent record without requiring employees to remember additional punches every day.

  • Control who can adjust clock-in and clock-out times. A new security permission gives you more control over timekeeping. Choose which employees are allowed to adjust their punch time while clocking in or out, while everyone else records the actual time of the punch.

  • Review employee credentials in one place. The new Employee Credentials Report gives you a consolidated view of workforce credentials and certifications. Review employee qualification information internally or create a professional branded PDF when a customer or project partner asks for documentation.

  • See complete estimate acceptance details. Estimate acceptance is now easier to document and verify. Accepted estimates show who accepted the estimate, when it was accepted, the captured signature, and the acceptance terms in effect at that time—giving you a clearer record of exactly what the customer approved.

  • Set dedicated contact emails for financial documents. Financial settings now let you define the contact email addresses displayed on estimates and invoices, so customers know exactly where to send billing or payment questions.

Improved

  • 🔥 Employee clock-ins are faster. For employees who only have permission to clock themselves in or out, SimplySub no longer makes them choose their own name from a list containing one person. They move directly into the clock-in workflow, eliminating an unnecessary step every time they punch.

  • 🔥 Employee time cards are easier to understand. Employee time cards have received a major mobile-first redesign. Employees can more easily review hours by day and time code, see totals across the selected period, understand regular versus overtime hours, and review their own punches from a phone without fighting a desktop-style report.

  • Create products and services without leaving an estimate or invoice. Need an item that isn’t already in your catalog? Create it while building the estimate or invoice and keep moving. There’s no need to leave the document, open settings, create the item, and then return to what you were doing.

  • Line item descriptions now support up to 4,000 characters. Estimate and invoice line item descriptions have increased from 500 to 4,000 characters, giving you plenty of room for detailed scopes of work, specifications, exclusions, materials, installation notes, or customer-facing explanations.

  • Show estimates and invoices directly to customers. A new Show to Customer action opens estimates and invoices in a clean, customer-friendly view on your device. It’s ideal when you’re sitting at the kitchen table, standing on the jobsite, or reviewing a proposal face-to-face. Customers can review the document without seeing the internal SimplySub interface, making in-person estimate acceptance and invoice payment much easier.

  • Set job locations using GPS or a map. Not every job has a clean street address—especially new construction, large sites, rural work, and undeveloped properties. You can now use your current GPS location or simply drop a pin on the map to set the exact job location.

  • See job profitability more quickly. A dedicated Profit Margin card is now available in the financial area of each job, making it easier to see how the job is performing without digging through additional reports or calculations.

  • Export a branded Billable Work Summary PDF. The Billable Work Summary now includes a professional PDF export, including supporting job information and photos where applicable. Use it internally or send it to customers and project partners when documenting completed or billable work.

  • Training signatures are easier to review. Employee signatures can now be accessed from additional areas throughout the training system, including training history, completed Toolbox Talk summaries, and employee training records in administration. When you need proof that training was completed, it’s easier to find.

  • 🔥 Toolbox Talk signatures are easier and more reliable to capture. We improved the signature experience for both employees and presenters, including better handling when signatures extend near the edge of the signature area. Capturing training acknowledgments in the field should now be faster and less frustrating.

  • Toolbox Talks now always open at the topic. Opening an existing Toolbox Talk session now takes you to the training topic first instead of automatically jumping to the last completed step. This creates a more predictable workflow and makes it easier for a presenter to review the material before continuing the session.

  • 🔥 Job Progress View searches are cleaner. Searching the Job Progress View now automatically hides status columns that contain no matching jobs. Instead of scrolling through empty sections, you see the jobs you searched for immediately.

Fixed

  • Customer addresses now display consistently on invoices. We corrected an issue that could cause customer address information to be missing from certain invoices.

  • Longer work log details are handled correctly. We fixed an issue that could truncate longer work descriptions and increased the amount of detail that can be entered, giving field teams more room to properly document completed work.

  • Various performance improvements. Performance is always on our minds, trying to find ways to make every SimplySub feature feel quick and snappy.

  • Various bug fixes. Nobody likes system bugs, especially us. While not many of them slip through our QA process, some do, but they don't make it long before we squash them.

Heads Up

  • Automatic weather capture requires a job location. SimplySub needs to know where the job is in order to capture its weather. Make sure the job has a valid street address, GPS coordinates, or a location selected from the new map tools.

  • File and note notifications are now sent by email only. Text message notifications are no longer offered when notifying recipients about newly added notes or files. Email notifications remain available.

A lot changed in this release. The goal behind all of it is simple:

Less administrative work. Better job records. Faster customer communication. And more information available exactly where you need it.
