We've been busy making SimplySub even easier to use, both in the office and out in the field. This release brings major new capabilities for scheduling crews, managing tasks, customizing job views, and controlling access to sensitive information.

Along with these additions, we've made dozens of improvements to daily logs, financial reporting, equipment management, and everyday workflows.

• 🔥 Crew Scheduling & Dispatch: Schedule employees and contractors to work on specific jobs, days, and times with SimplySub's new visual scheduling system. View schedules by crew member or job, make changes directly on the calendar, and coordinate work assignments more easily. Scheduling also supports assigning crew members to jobs , 1-click dispatch and applying task templates, helping connect your schedule with the work that needs to get done.

• 🔥 Jobs Sheet View: Manage jobs in a spreadsheet-style layout with customizable columns. Choose which information appears, including custom job fields, and save your preferred layout for future use. This provides a flexible way to review and organize jobs without opening each record individually.

• 🔥 Task Template Manager: Create reusable task templates to standardize work across jobs. Templates can include parent tasks and subtasks, helping your team follow consistent processes for recurring activities. Apply templates when creating tasks or scheduling work to save time and reduce repetitive entry.

• Assign Tasks to Everyone on a Job: A new assignment option lets you assign tasks to anyone assigned to a particular job. This makes it easier to coordinate shared responsibilities without manually selecting each person.

• Duplicate Tasks and Subtasks: Quickly duplicate existing tasks and subtasks instead of creating similar work items from scratch.

• 🔥 New Field Staff Home Screen: A simplified home screen provides field employees with quick access to Jobs, Time Clock, and My Tasks. The streamlined layout is designed for faster navigation on mobile devices.

• 🔥 Customizable Home Screen: Choose a home screen experience that better suits your role and daily workflow.

• 🔥 Expanded File and Photo Security: Control access to file and photo categories using security groups. Restrict sensitive documents to authorized employees while keeping other files accessible to the appropriate team members.

• 🔥 View Unassigned Jobs Permission: A new security group permission provides greater control over job visibility, allowing administrators to determine which users can view jobs beyond those explicitly assigned to them.

• Vehicle Registration and Insurance Notifications: Receive reminders when vehicle registrations or insurance policies are approaching expiration. Notifications are scheduled for 60, 30, 14, and 1 day before expiration, as well as on the expiration date.

• Download Multiple Files and Photos: Download selected files and photos together in a ZIP archive, making it easier to share or store job documentation.

• 🔥 Access Job Attachments from Estimates and Invoices: Select files already uploaded to a job when preparing estimates and invoices, reducing duplicate uploads and keeping related documents organized.

• Translate Notes and Comments: New translation controls make it easier to read notes and comments in different languages.

• Estimate and Invoice Header Customization: Additional fields beneath your company logo offer more flexibility when presenting information on estimates and invoices.

• Task Search Within Job Records: Search tasks directly within the Tasks tab to find specific work items without navigating away.

• Safety Talk Presenter Reminders: Presenters can receive email reminders on the scheduled day of a safety talk, with a follow-up reminder if the talk is missed.

• Default Financial Column Visibility: New settings provide control over the financial information displayed by default.

• Daily Work Logs Now Include Completed Tasks: Completed tasks are incorporated into Daily Work Logs and Billable Work Summaries, providing a more complete picture of work performed on each job.

• More Complete Daily Log PDFs: Daily Log PDF reports now include summary totals, making it easier to review important information such as hours and costs without returning to the web application.

• Improved Job Financial Reporting: The Job Financials tab has been refined to provide clearer visibility into project profitability and financial performance.

• 🎉 Improved Task Management: We've refined the task management experience with cleaner layouts, improved organization, easier task controls, and better usability across desktop and mobile devices.

• Show or Hide Completed Tasks: Choose whether completed parent tasks remain visible in a job's Tasks tab. The default view hides completed parent tasks to reduce clutter, while subtasks remain accessible.

• 🎉 Automatic Job Assignment from Tasks: When a task is assigned to an individual who is not already assigned to the related job, SimplySub can automatically add that person to the job's assigned team.

• Improved Estimate Acceptance Workflow: When an estimate is manually marked as accepted, the related job can automatically move to the appropriate stage, reducing the need for additional updates.

• Smarter Invoice Payment Allocation: We've improved the payment application workflow to make it easier to apply customer payments to the intended invoices rather than relying solely on oldest-first recommendations.

• Easier BCC Recipients: Adding BCC recipients is now easier when sending estimates, invoices, payment receipts, and purchase orders.

• 🎉 Expandable Estimate and Invoice Text Fields: Expand description and customer notes fields while preparing estimates and invoices, making longer content easier to review and edit.

• Larger Company Logos on Financial Documents: Company logos now display more prominently on estimates and invoices, improving the appearance of customer-facing documents.

• Improved Image Annotation: A new line path tool provides additional flexibility when marking up photos and images.

• Vehicle Attention Indicators: Vehicle cards now highlight items requiring attention, including upcoming service, registration, and insurance expirations.

• Equipment Attention Indicators: Equipment cards now highlight service-related items requiring attention, helping teams identify maintenance needs more quickly.

• Faster GPS Route History: Performance improvements make GPS route history more responsive and easier to review.

Fixed

• Job Names in Customer Portal Estimates: Corrected the customer-facing estimate experience to display the associated job name for better identification.

Notes

• 🔔 Updated Job Tab Label: The Labor tab on job records is now called Clock Ins, making its purpose clearer.

• Language Selector Location: The language selector has moved to the lower-left area of the navigation menu.

• Light and Dark Mode Settings: The appearance toggle is now accessible through the user profile menu.
